A Sample Replacement Payslip

Replacement Payslips: Digital Copies by Email, or Print & Post

Need a replacement payslip? Whether you've lost the original, never received it from your employer, or need historic copies for a mortgage, visa, or legal matter — this page explains exactly how replacement payslips work, what information you'll need, and how to order. If you'd rather jump straight in, use the Create button to generate free samples before you pay anything.

What Is a Replacement Payslip?

A replacement payslip is a professionally re-created copy of your original payslip — showing your gross pay, tax, National Insurance, deductions, and net pay for a specific pay period. It is produced from the figures you provide (salary, tax code, pay date, employer details) and formatted to match the output of industry-standard payroll software.

Replacement payslips are not fabricated documents. They are duplicates of records you were legally entitled to receive in the first place — recreated because the originals have been lost, deleted, or are no longer accessible through your employer.

Who Needs a Replacement Payslip?

Payslips are requested in a surprising range of situations. The most common reasons people come to us are:

  • Mortgage applications — Most lenders require three to six months of payslips as proof of income. A single missing payslip can stall an application.
  • Rental and letting agreements — Letting agents and private landlords routinely ask for recent payslips before granting a tenancy.
  • Visa and immigration applications — UK visa applications, including spouse visas and indefinite leave to remain, often require historic payslips to demonstrate financial stability over a defined period.
  • Tax and HMRC queries — If HMRC questions your tax record, or you need to reconcile figures on a P60, original payslips are the primary supporting evidence.
  • Universal Credit and benefits — DWP assessments frequently request proof of previous earnings, especially when income has recently changed.
  • Legal proceedings — Solicitors handling divorce settlements, employment tribunals, or personal injury claims routinely request payslip history as financial evidence.
  • Employer has closed — If your previous employer has ceased trading, been acquired, or no longer holds historic payroll records, a replacement is often the only practical option.
  • Personal records — Many customers simply want a complete earnings archive for their own peace of mind or financial planning.

How to Order a Replacement Payslip

The process is straightforward and you don't pay until you've seen and approved your documents:

  1. Enter your details using our online form
Provide your pay date, salary, tax code, and employer details. If you have supporting documents — bank statements, old P60s, an employment contract — you can upload these to help us get the figures right.
  2. Preview your payslip before paying
We send you a PDF draft to review. Check every figure, layout, and detail. If anything needs adjusting, just let us know — amendments are free and unlimited at this stage.
  3. Approve and receive your documents
Once you're happy, click the secure payment link. Your final PDF is emailed within 30 minutes during office hours. Printed copies on genuine payroll stationery are dispatched by Royal Mail the same or next working day.

What Do Our Replacement Payslips Look Like?

We produce payslips using formats generated by the UK's most widely used payroll software packages — including Sage, Pegasus, and Moneysoft. The result is a document indistinguishable in format and layout from one produced directly by an employer's payroll department.

Every payslip includes:

  • Your full name and address
  • Employer name and address
  • Pay date, pay frequency, and the period covered
  • Tax code and National Insurance number
  • Gross pay, income tax, NI contributions, and any other deductions
  • Net pay (take-home amount)
  • Year-to-date (YTD) totals for gross pay, tax, and NI

Digital Payslips vs Printed Payslips — Which Do You Need?

The majority of mortgage lenders, letting agents, and solicitors now accept PDF payslips submitted by email without question. Digital documents are the fastest option — delivered to your inbox, print-ready whenever you need them.

Some institutions, particularly certain mortgage underwriters and government departments, still prefer or require printed copies. We offer both:

  • PDF by email — Delivered within 30 minutes during office hours. Print as many copies as you need.
  • Printed and posted — Produced on genuine payroll stationery and dispatched by Royal Mail First Class to any UK address.

If you're unsure which format your recipient requires, start with the PDF — it's faster and you can always request printed copies afterwards.

What Information Do You Need to Place an Order?

The more information you can provide, the more accurate your payslip will be. At a minimum you'll need:

  • Your full name and address at the time
  • Employer name and address
  • Pay period dates and pay frequency (weekly, monthly, etc.)
  • Gross salary or hourly rate
  • Tax code in effect at the time (or approximate year if unknown)
  • National Insurance number and NI category (usually A)

Useful supporting sources include bank statements showing your net pay credits, your HMRC Personal Tax Account (which shows gross earnings and tax paid per employer, per tax year), old P60s or P45s, and any existing payslips that cover a different period.

If you're missing certain details — such as your exact tax code — we can use the most probable value for the period and advise you accordingly before you pay.

Are Replacement Payslips Legal?

Yes — provided the figures are accurate. A replacement payslip is a recreation of a document you were legally entitled to receive. Requesting a duplicate of your own payroll records is entirely lawful.

It is, however, a criminal offence to knowingly submit a document containing false financial information to a lender, landlord, or public authority. Our service exists solely to replace genuine lost or inaccessible records. Before we produce any document, we ask customers to confirm that the figures they provide are a true and accurate reflection of their actual earnings.

Frequently Asked Questions

How quickly will I receive my replacement payslip?

During office hours (Monday to Friday, 9am–5pm), PDF documents are typically emailed within 30 minutes of payment. Printed copies are dispatched the same or next working day by Royal Mail First Class.

Can I get a free sample before I pay?

Yes — you can generate unlimited sample payslips using our online tool before placing any order. This lets you check the layout, verify figures, and make sure everything looks exactly right before you commit to anything.

How many payslips can I order at once?

There's no limit. Many customers order a full year or more of payslips in one go. Bulk pricing means the cost per payslip decreases as the quantity increases — see our pricing page for full details.

Will a mortgage lender or letting agent accept these?

Our payslips use formats produced by widely recognised payroll software (Sage, Moneysoft, Pegasus and others), so they are indistinguishable in appearance from payslips issued directly by an employer's payroll department. The vast majority of lenders and agents accept them without question. If a specific recipient raises a query, contact us and we'll do our best to help.

What if my employer has closed or can no longer help?

This is one of the most common reasons people use our service. If your previous employer has ceased trading, been acquired, or simply no longer holds historic payroll records, a replacement payslip is often the only practical solution. Your HMRC Personal Tax Account can confirm your gross earnings and tax paid for each tax year, which gives us a reliable foundation to work from.

What if I made a mistake on my order?

Amendments are always free. If you spot an error in your draft before payment, let us know and we'll correct it. If something slips through after payment, we'll still fix it at no extra cost.

Is my personal data kept private?

Yes. We use your data solely to produce the documents you've ordered and do not share it with any third parties. Full details are in our Privacy Policy.
